Create and edit work items in your list

You must have the following to do the things described on this page.

Permission: Create work items, Edit work items

Create a work item in your list

There are a few different ways to create a work item in the list view. First, you can:

  1. Select the + Create button at the bottom of the list.

  2. Give your work item a name based on what work needs to be done.

  3. Select the work type you’d like to create from the dropdown (if your project has more than one work type). All work types associated with your project will be included, except those that require a parent.

  4. Press return (Mac) or Enter (Windows) on your keyboard to finalize.

Another way you can create a work item from within the list:

  1. Hover your cursor between two work items on the list and select + Create that appears on the left side.

  2. Give your work item a name.

  3. Select the work type you’d like to create from the dropdown (if your project has more than one work type). All work types associated with your project will be included, except those that require a parent.

  4. Press return (Mac) or Enter (Windows) on your keyboard to finalize.

If you have grouping applied when you create your work item, the work item will inherit attributes of the grouping. For example, let’s say you’ve grouped your list by status. When you create a work item with the grouping applied, that work item will have the status of the section you’ve created the work item in.

Quickly edit a work item

In the list view, you can quickly and easily make changes to your work items without having to open them individually.

To edit a work item in your list, select the field you’d like to edit, then:

  • If it’s text, start typing and press return (Mac) or Enter (Windows) when you’re finished.

  • If it’s a selection, select a value from the dropdown menu. Your changes will be applied instantly.

To edit a work item using only a keyboard:

  • To enter a value and move focus to the field on the right, press tab.

  • To enter a value and move focus to the field below, press return (Mac) or Enter (Windows).

View and edit work items in more detail

To view a work item in more detail, select its work item key in the # Key column. This appears as a string of letters and numbers such, for example, ABC-123.

The work item will open, where you can view its description, status, assignee, and other information in more detail.

Manage child work items in your list

A work item can have child work items that can be assigned and tracked individually. If you have a task with a related subtask, that task would be considered a parent work item while the subtask would be a child work item.

Create a child work item

To create a child work item in the list view:

  1. Hover over the Type column, in the row of the work item you’d like to create a child work item for.

  2. Select + Create child work item / subtask.

  3. Enter a summary of what needs to be done.

  4. Press return (Mac) or Enter (Windows) on your keyboard to finalize.

Change the parent of a child work item

From the list, you can change the parent of a child work item by dragging and dropping it underneath a new parent.

Another way to change the parent is to open the child work item, then select the work type icon in the top-left corner next to the work item key of the parent.

View child work items

To show all the child work items in your list, select View settings, then Expand all work items.

To hide all the child work items, select Collapse all work items instead.

In the list view, you can only see up to 500 child work items under a parent. Similarly, if a child work item has a parent that belongs to a different project, it won’t display in the list view.
